Know what applies. Know what to do. Keep the proof.
-
Know what applies. YLink sets out the obligations per location that fit your sector and your equipment.
-
Know what to do. Your team gets the internal tasks, the specialist gets the work order. Everything stays linked to the obligation.
-
Keep the proof. Every certificate, report and measurement stays traceable to location, equipment and obligation.
You set up your business once. After that, YLink is where you see what needs attention, who picks it up and where the proof is.

Four modules, one workflow.
YLink is built from four modules that fit together. Obligations decide what needs to happen, tasks and work orders make sure it happens, and the Compliance Vault keeps the proof. Each module has its own page with the screens and the questions business owners ask most.
Obligations
Know what applies. One register for equipment and compliance programmes, with only the obligations that fit your sector.
Internal tasks
Get your team doing the right work. Recurring checks, checklists and measurements, right on their phone.
External work orders
Outsource specialist work. Inspections, servicing and repairs, with quote, schedule and invoice in one place.
Compliance Vault
Keep the proof. Certificates, reports and records per obligation, with the full history.
1. Start with your locations
You do not start with an empty system. Add each site and say what type of business runs there. Based on your sector, YLink pre-fills the equipment that is usually on site.

You do: fill in the location, address and business type.
YLink does: creates the location file and pre-fills the equipment list.
What you get: a usable start for every site, and still one overview of the whole business.

2. Check your equipment
YLink has prepared an equipment list. You confirm what is actually there, remove what does not apply and add what is missing, such as installation date, serial number and room.

Topics that are not tied to one item, such as food safety, workplace safety and permits, you handle with compliance programmes. So you never work from loose reminders: every obligation stays linked to the item or programme it belongs to.

3. See what needs attention
The obligations register is your worklist. It brings everything from equipment and programmes together, showing for each line where the obligation comes from, how it is carried out and what its status is.

YLink separates work for your own team, specialist work by a supplier, and documents. Action soon, evidence missing or overdue: every status comes with a next step, instead of a calendar reminder you have to figure out yourself.

4. Get the work done
A check by your team works differently from an inspection by a specialist, but both stay linked to the same obligation.

Internal task: assign a recurring task to a staff member or to the on-site team, with a checklist, measurement or photo.
External work order: create the work order straight from the obligation and track quote, supplier and schedule until the report is in.
If something goes wrong: turn a failed check into repair work by a specialist.

5. Capture the evidence
The Compliance Vault is not a shared folder. Every document stays linked to what it proves.

From tasks: a completed task becomes a permanent record with result, staff member and date.
From suppliers: inspection reports and certificates come in through the work order.
Documents: permits and licences are tracked with their expiry date.

New evidence is added. Old evidence is never overwritten.

6. Manage by exception
Once everything is running, you do not need to go through every obligation each morning. The dashboard shows what needs attention, where it is and who takes the next step.

Click through to the location, the task or the work order, and from there to the proof. You spend your time on what is falling behind, not on checking calendars, spreadsheets and certificate folders.
