Keep the evidence with the obligation it proves.
-
Linked to the context. Every piece of evidence belongs to an obligation, a piece of equipment and a location.
-
Full history. Every record is kept separately, so you see what was done before.
-
Missing evidence stands out. You see right away where a certificate or report is still missing.
So you are ready when an inspector or insurer asks for it.

Benefits of the Compliance Vault
A document folder tells you which files you have. The Vault tells you which obligation a file proves, for which location or piece of equipment, with the full history attached.
The same structure as your compliance
Evidence is organised by location, equipment and obligation, just like the rest of YLink.
Full history
New evidence does not replace the old, it adds to the history. So you also see earlier inspections.
Missing evidence stands out
You see right away which obligation or piece of equipment is still missing a certificate or report.
Evidence builds itself
Completed tasks and work orders fill the Vault automatically. Nothing needs to be uploaded separately.
Find evidence by context
Do not search by file name. Open the location, the equipment or the obligation, and the evidence is right there.
All kinds of evidence. Certificates, inspection reports, measurements, checklists and records.
Existing documents. Upload certificates you already have and link them to the right obligation.
Ready for inspection. Show an inspector right away what was done and when.

New evidence adds to the history
Every new inspection, measurement or record is added to the previous ones. So it stays visible what was done over time.
Evidence from tasks and work orders flows into the Vault on its own. You do not need to collect or upload it separately.
Example: an inspector asks for the latest inspection of a fire extinguisher. You open the equipment and see the most recent certificate right away, with all earlier inspections below it.

Questions about the Compliance Vault
How is this different from a shared folder?
A folder stores files. The Vault links every piece of evidence to the obligation, equipment and location it proves, with the full history attached.
Can I upload existing certificates?
Yes. Upload the certificates and reports you already have and link them to the right obligation or piece of equipment.
How do I show evidence during an inspection?
Open the location, the equipment or the obligation. The most recent evidence is at the top, with earlier records below.
Is the Vault included in the price?
Yes. The Compliance Vault and the YLink Academy are part of the fixed price per location.
