Outsource specialist work, with the context attached.
-
From the obligation. Every work order starts from the obligation and the equipment it concerns.
-
Quote and schedule. Approve quotes in the work order and see whether the job is on schedule.
-
Report and invoice back. The report counts as evidence and the invoice stays with the work order.
So outsourced work stays visible, without loose email threads.

Benefits of External work orders
Inspections, certification, specialist maintenance and repairs are carried out by external parties. YLink keeps the job linked to the obligation, from quote to report and invoice.
The context travels along
The work order starts from the obligation and the equipment. The contractor knows right away what needs doing and why.
Quote and approval
Receive the quote in the work order and approve it there. That way the agreement is on record.
Planning under control
See per work order whether it is on schedule, at risk or overdue, before the inspection expires.
The report counts as evidence
The inspection report comes back to the work order and counts straight away as evidence in the Compliance Vault.
The job knows why it exists
A work order starts from the obligation. The contractor sees which equipment, which location and which inspection it is about.
No loose emails. Quote, agreements and questions sit with the work order.
See the progress. On schedule, at risk or overdue, per work order.
Bundle where you can. Handle similar equipment at one location together in one work order.

From obligation to invoice
After the work is done, the report and the invoice come back to the work order. The report counts straight away as evidence on the obligation.
So per obligation you see what was outsourced, what it cost and whether the evidence is complete.
Example: the annual fire extinguisher inspection. The work order goes to the inspection company, you approve the quote, and after the inspection the certificate is stored on every extinguisher in the Vault.

Questions about External work orders
When do I create a work order and when a task?
A task is work your own team carries out, such as a daily check. A work order is for work by an external party, such as an inspection, certification or repair.
Can I approve a quote in YLink?
Yes. The quote arrives on the work order. You approve it there, so the agreement is on record.
Where do the report and invoice end up?
On the work order. The report counts straight away as evidence and also appears in the Compliance Vault, on the obligation and the equipment.
Are work orders included in the price?
Yes. Work orders are part of the fixed price per location. You do not pay per work order.
